Process Excellence: streamlining business operations
At Allegro, we constantly strive for efficiency, quality, and innovation. Our goal is to enhance processes, so that we not only increase our productivity but also deliver outstanding value to the customers. This is where Process Excellence comes into play – a discipline that focuses on optimizing work, reducing waste, and improving overall performance. But what does it mean to work as Process Excellence Specialist, and what is the daily reality of those who hold such positions? Dive into the article to gain insight into how they drive change and what makes their work exciting and impactful.
What is Process Excellence?
At its core, Process Excellence is about the continuous improvement of an organization’s processes to ensure they operate at peak performance. This involves making sure processes are efficient, minimizing waste, and maintaining a high level of quality that meets established standards. But the real value lies in ensuring that these processes deliver the desired outcome and value to both the company and its customers.
"Process Excellence at Allegro combines two well-established methodologies – Lean Management and Six Sigma. Lean Management focuses on eliminating waste, while Six Sigma emphasizes improving quality and stabilizing processes through statistical methods"
- says Natalia Wójcik,
Team Leader, Process Excellence
This blend allows teams to not only make incremental improvements, but also to use data-driven approaches to resolve more complex issues. Lean is the lighter, more intuitive approach, while Six Sigma digs deeper into the statistics to prove or reject hypotheses about the process.
In practice, working in Process Excellence means tackling two main objectives: solving problems and making improvements.
"Sometimes, we deal with major issues where we need to find root causes and eliminate them. Other times, the process works, but we want to make it more efficient or meet our organization's Key Performance Indicators."
Not your typical subject matter expert
One of the most interesting aspects of the job is the role of a facilitator rather than a direct problem-solver. Process Excellence specialists act as external guides who help teams uncover inefficiencies and suggest ways to improve, but they are not there to dictate solutions.
"Our role is to facilitate the conversation, ask the right questions, and enable teams to find the answers themselves. We’re not experts in their processes, but that’s our advantage. Coming in with a fresh perspective allows us to see things they may overlook. By asking, ‘Why is this done this way?’ or ‘What would happen if we tried something different?’ we push teams to think critically and creatively."
This outsider approach can often reveal inefficiencies or areas for improvement that internal teams have become blind to. It is not about imposing solutions, but empowering the process owners to take ownership of their improvement journey. The team provides the methodology, the tools, and the framework, but ultimately, it is the employees within the process who come up with the best solutions.
Real-world impact
A standout project by one of our Process Excellence Specialists involved automating a previously manual process using robotics. Patrycja took part in an internal “Robot School” initiative. After completing the course, she designed a robot to automate the removal of candidate data from the company's recruitment system. This automation not only ensured compliance with data protection regulations (like GDPR) but also saved countless hours of manual work.
"Cleaning the system manually would have taken a huge amount of time, but with the robot, the process became automated and seamless"
- Patrycja Berezowska,
Process Excellence Specialist
This is a prime example of how process excellence doesn’t just improve efficiency but also ensures that vital regulations are met in a smooth, automated fashion.
The variety and continuous learning
The variety of tasks in the field of Process Excellence is one of the aspects that makes the role so exciting. Even though the tools and methodologies might be the same - each project is different and there is always something new to discover.
"For me, every problem feels like a detective case – a mystery that needs solving. It’s like those crime shows where you pin photos on a board and start connecting the dots"
- Natalia
This diversity in the scope of work means the job never gets boring. Whether it's improving internal operations, refining customer-facing processes, or dealing with new business areas, there's always something new to learn.
"We not only learn new tools and methodologies but also how different departments within the company function. In the end, you get this holistic understanding of how the business operates from the ground up"
- says Aneta Sękulska-Sulik,
Process Excellence Senior Specialist
Why is it great to work in Process Excellence?
Beyond the satisfaction of seeing projects through from conception to completion, working in Process Excellence offers unique opportunities for personal and professional growth.
One of the most valuable aspects is the freedom to explore new roles and skills within the organization. Allegro offers various internal initiatives, like the “Robot School”, to help employees expand their expertise.
"I love working here because it gives me so many opportunities to grow and learn. We have weekly knowledge-sharing sessions, and the culture supports constant development. Plus, the openness and collaboration between teams make it a great environment to work in"
- Patrycja
The role also offers the satisfaction of being a facilitator of change. Process Excellence isn’t just about fixing broken systems; it’s about improving the quality of what already works and helping others see the possibilities for improvement. It’s about making a lasting impact on the business and ensuring that it runs as efficiently and effectively as possible.
Process Excellence is a vital part of modern businesses. It ensures that processes run smoothly, problems are solved systematically, and improvements are made continuously. For those who work in this field, the job offers both challenges and rewards, whether it's the satisfaction of solving complex problems or the joy of empowering others to make meaningful changes.
